Printable inventory count sheet builder

Lay out your zones in the order you walk, list the items and pars, and print a sheet with blank boxes to count into. Runs in your browser, no signup, nothing sent to us.

Everything below is an example layout. Rename, add, remove, and reorder until the sheet matches the order you walk the shop. Your draft is saved in this browser only.

How to use this sheet

  1. Type your cafe name and pick how many counts the sheet should hold. Add a date for each one if you want it in the header.
  2. Rename the zones to match your shop and put them in walk order with the Up and Down buttons. The six zones here are an example layout.
  3. Edit each item’s name, unit, and par. The items and pars are examples, so replace them with yours. Add an item to a zone or delete the ones you don’t stock.
  4. Press Print. Only the sheet prints, and you can choose US Letter or A4 in the print dialog. Leave “Start each zone on a new page” ticked for one zone per page, or untick it to run zones together and use fewer pages.
  5. Want it in a spreadsheet? Download CSV gives one row per item with empty count columns.

Tips for a sheet people will use

  • Put the unit next to every item, and use the same unit every time.
  • Keep each zone to one shelf, fridge, or area so it maps to a place someone can stand.
  • Count at the same time of day. Counting before the morning delivery and after it gives two different answers for the same shelf.
  • Once you have a sheet, work out pars with the par level calculator and cost the items with the food cost calculator.
  • Curious how counting works inside ShelfCount? Read items, units, and costs, or see the coffee shop page.

Questions we get

What order should the zones be in?

The order you physically walk the shop, not the order of the catalog. Start at the door to the back, work toward the front, and finish where you started. A sheet that matches your route means no backtracking and fewer skipped shelves.

How many items belong on one sheet?

Whatever one person can count in a single pass without losing focus. For most cafes that is the 25 to 60 items that actually drive cost. Skip the things you never reorder, and count slow movers less often.

What should I count in: cases or single units?

Count in the unit you can see on the shelf, then convert when you order. Counting loose bottles in cases leads to guessing at a third of a case. Put the unit on the sheet so everyone counts the same thing.

What is the par column for?

It is the target amount to have after a delivery. With par printed next to the blank, the person counting can see right away what is low. You can work pars out with the par level calculator.

Is my sheet saved anywhere?

Only in your own browser, so it is still there when you come back on the same device. We never receive it. Use Download CSV if you want a copy you control, or clear your browser data to remove the draft.

ShelfCount puts the same zones on your phone, so counts go straight into the system instead of onto paper and back into a spreadsheet.
