Everything ShelfCount does, and a few things it doesn't
ShelfCount counts your shelves, costs your menu, and turns the count into a purchase order your vendor receives. This page is the full list, grouped by the job you are doing, with the gaps listed at the bottom. $50 a month covers all of it.
Count
Phone counts in walk order
Count from any phone browser, with no app to install, in the order you walk your storage locations. Blank means not counted and zero means zero. You can run a count for one location, one vendor, or the whole building, and a draft you leave half finished can be resumed for 24 hours. How it works
Count reminders
Pick the days you want a count and your managers get an email that morning. The reminder is only a nudge. It does not start the count for anyone. How it works
Barcode scan mode and spotty signal
Counts have a barcode scan mode, and scans match the barcodes on your items. Entries made while the signal drops are held on the device and sent when it comes back. Reloading the page while offline does not work yet. How it works
Storage locations
Walk-in, bar, dry storage, back shelf: set up the places you actually count, and each count sheet follows them. How it works
Cost
Items, pack sizes and units
An item's cost is per purchase unit, and ShelfCount converts through the pack chain, such as case to bag to ounce. Converting between weight and volume needs a density you set for that item. When it is missing, ShelfCount stops and asks instead of guessing. How it works
Recipes and prep recipes
Build menu recipes from ingredients and from prep recipes, which can nest inside each other. Yields and batch scaling are supported. When a price changes, every recipe built on that item recosts, including the prep recipes in between. How it works
Price history
See what you have paid for an item over time, the biggest movers, and a chart per item. Price-increase alerts exist, and they are off until you turn them on. How it works
Training videos on recipes
Attach a short how-it's-made link to a recipe so a new hire can watch it. YouTube, Vimeo, and video files are supported. How it works
Order
Vendors, pars and purchase orders
Set par levels, including different pars for different days of the week, and get suggested orders from your count. Vendor order minimums are respected, and PO lines can follow the vendor's shopping route. A purchase order goes to the vendor by email when you send it, for vendors set up for email delivery. How it works
Auto-send, if you want it
Auto-send on count is opt-in, per vendor. It is off until you switch it on. If an auto-created order comes in under the vendor's minimum, it is held as a draft by default and your managers get a link instead. How it works
Check the invoice
Receipt and invoice scanning
Photograph an invoice, email it in, or upload a file. Every line waits for a person to review it. Nothing changes a cost or a pack size until someone approves it, however confident the scan is. How it works
Barcode learning
When you link a barcode to an item and approve it, ShelfCount remembers it, so the next invoice with that product matches itself. How it works
Sync your POS
Sales sync from Square and Clover
Sales pull in from your POS about every 15 minutes. ShelfCount reads sales, the catalog, and locations. It does not write to your POS. How it works
Menu mapping and modifiers
Point each POS menu item at a recipe so a sale is costed, then give modifiers real ingredient effects, such as oat milk replacing dairy milk. Sales are costed with those effects applied. How it works
Report
Food cost reports
Inventory value, items below par, theoretical against actual food cost, menu profitability, and purchase history. How it works
Usage variance
Per item, what your sales say you should have used next to what actually left the shelf. Some items are excluded, and the help article says which and why. How it works
Waste log
Log spoiled, expired, damaged, or prep waste, and see what it cost by reason. How it works
Team and roles
Staff, manager and admin
Everyone gets their own sign-in. Staff can count, capture receipts, log waste, and read recipes with ingredients and quantities but no costs. Managers run the catalog, recipes, purchase orders, receipt review, and reports. Admins add user management on top. How it works
Integrations
Square
Connects with an access token you create. ShelfCount reads sales, the catalog, and locations and never writes to Square. Read-only OAuth is on the roadmap. How it works
Clover
Connects with a dashboard API token today. One-click connect waits on Clover's App Market review, which is still pending. How it works
Toast
Built, and waiting on Toast's partner approval. It is not live yet, so do not choose ShelfCount for Toast today. How it works
QuickBooks Online
Map your categories to GL accounts, export a Journal Entry CSV, or push approved receipts to QuickBooks Online as Bills.
Import and migration
Upload items, vendors, or recipes from a CSV or Excel file, or photograph a paper list, and review everything before it saves. If you would rather hand it off, the done-for-you migration is a one-time $299. How it works
What we don’t do yet
Better to read this before the trial than to find it in week two.
Multi-unit enterprise reporting
Not yet. Each location is its own account today, with no rollup across them.
Xero
Not yet. QuickBooks Online is the only accounting connection.
EDI with vendors
Not yet. Purchase orders go out by email.
Bill pay
No. ShelfCount checks the invoice. It does not pay it.
Tasks, labor scheduling and an assistant inside ShelfCount
Not yet. Timed kitchen checks and scheduling live in a separate free scheduling app.
Reloading the page while offline
Not yet. Counts queue on the device when the signal drops, but the page itself needs a connection to load.
The comparison pages say where other tools do more than we do.
See it on a real cafe before you decide.
